The first lane can often be compared on workflow, compatibility, durability, support, and total cost. The second needs documented review. A marketplace listing, star rating, or phrase such as “medical grade” is not enough evidence for a clinical purchase.

For most practice managers, the highest-value improvement is a repeatable procurement record: intended use, approved model or specification, supplier, regulatory evidence where applicable, lot or serial traceability, expiration or storage limits, reorder point, and recall owner. That turns “we are running low” into a system.

Buy the scanner or label printer by workflow, not by headline speed. Privacy is a process, not a screen filter

A privacy filter or monitor arm may reduce casual viewing, but it does not make a workstation compliant. HHS describes HIPAA physical safeguards as including facility access controls, workstation use, workstation security, and device and media controls. The appropriate controls depend on the organization’s risk analysis and policies. Do not copy a broad “exam room essentials” list into a purchase order. Build the room standard from the examinations and procedures performed there.

4. Hand Hygiene, Cleaning, and Disinfection

Cleaning products are not interchangeable. The CDC recommends routine and targeted cleaning based on patient contact and soiling, more frequent attention to high-touch and near-patient surfaces, EPA-registered disinfectants with activity appropriate to likely pathogens, and use according to manufacturer directions—including dilution, contact time, material compatibility, storage, shelf life, safe use, and disposal.

Procurement checklist for environmental products

  • Confirm whether the task is cleaning, sanitizing, disinfecting, or another defined process
  • Record the EPA registration number for a disinfectant
  • Verify that the labeled use site, surface, method, and target organism match the facility’s need
  • Record the required dilution and contact time
  • Verify compatibility with exam tables, device housings, screens, upholstery, finishes, and other surfaces
  • Capture shelf life, storage conditions, personal-protection instructions, and disposal directions
  • Confirm staff can realistically keep the surface wet for the full labeled contact time
  • Prevent unapproved decanting, mixing, or substitution

5. PPE, Sharps, and Bloodborne-Pathogen Controls

PPE should follow a task-based risk assessment. It should not be selected because a bundle is popular or because a product page uses healthcare imagery.

OSHA’s Bloodborne Pathogens standard applies to employers with employees who have reasonably anticipated occupational exposure to blood or other potentially infectious materials. It requires a written Exposure Control Plan and addresses engineering controls, work-practice controls, PPE, housekeeping, training, and records.   • Involve the employees who actually use the device in evaluation where required
  • Specify container size, mounting or placement, fill-line visibility, closure, replacement, and disposal workflow
  • Define acceptable PPE specifications and substitutions for each task
  • Track stock levels without separating supply availability from fit, training, and correct use

Depending on the category, this may include FDA classification or premarket information, AccessGUDID, EPA registration and label directions, or other authoritative records. An official database entry is one part of due diligence, not a guarantee that the item fits the clinic’s use or that no later action has occurred.

D. Review instructions and compatibility

Obtain current labeling and instructions for use. Confirm cleaning and reprocessing requirements, accessories, consumables, environmental limits, maintenance, calibration, warnings, contraindications, useful life, and disposal.
